Position Title: Administrative Assistant

Hours:  Tuesday - Friday, 9 am - 3 pm; second Wednesday of the month, 2 pm – 8 pm.

Pay Rate: $20/hour

Christ Church UCC Des Plaines is seeking a trustworthy, organized, and professional Administrative Assistant to support our staff and congregation. This is a part-time, in-person position averaging 20–24 hours per week, reporting to the Pastor, and includes one week of vacation annually. The ideal candidate will maintain healthy boundaries and confidentiality at all times, with the ability to handle sensitive information effectively.

Qualifications: Associate’s degree or equivalent required; Bachelor’s degree preferred. Minimum of two years of administrative experience (church, nonprofit, or office experience preferred). Proficiency in MS Office and Google Suite. Experience with Canva, MailChimp, WordPress, Breeze CHMS, and social media preferred. Comfortable with office equipment and technology. Training can be provided for church-specific platforms.

Administrative Support: Assist the Pastor with day-to-day office and administrative tasks. Attend weekly staff meetings. Provide administrative support to the Finance Manager, Church Council, committees, and other church groups as needed.

Communication & Publications: Prepare, compile, and proofread content for weekly bulletins and monthly newsletters. Print, copy, and mail church communications as needed. Manage church email account, correspondence, and social media content.

Office & Records Management: Maintain office supplies, files, and official church records. Keep the church calendar (physical and online) accurate and up-to-date. Maintain an up-to-date directory of the congregation and friends. Sort and distribute incoming mail and prepare outgoing mail.

Pastoral Coordination: Assist with scheduling baptisms, weddings, funerals, and pastoral care visits. Support the Pastor in coordinating with members and families as appropriate.

Confidentiality: Absolute discretion and integrity: The Administrative Assistant will handle sensitive pastoral and church information and must maintain strict confidentiality at all times, including from other staff, volunteers, and church members.

Other: Perform additional tasks as assigned by the Pastor.

EvaluationPerformance evaluation is conducted within the first 90 days and annually thereafter. The Pastor recommends compensation adjustments to the Church Council. All staff undergo a background check.

Administrative Assistant Search Process

We are excited to welcome a new Administrative Assistant to Christ Church UCC in Des Plaines! Below is the process for applying and moving through our selection:

  1. Application Submission: Submit your résumé, cover letter, and pay history to be considered for the position.

  2. Preliminary Interview: Selected candidates will be invited to an initial Zoom interview.

  3. In-Person Interview: Finalists will meet with the pastor and lay leaders for an in-person interview at the church.

  4. Start Date, Meet & Greet: The final candidate will be notified of their start date and invited to a Sunday worship service, where they will be introduced to the congregation.
