Position Title: Administrative Assistant

Hours:  Tuesday - Friday, 9 am - 3 pm; second Wednesday of the month, 2 pm – 8 pm.

Pay Rate: $20/hour

The Administrative Assistant is a part-time, in-person position with regular hours, averaging approximately 20-24 hours of work per week and reporting to the Pastor. The position includes a one-week vacation annually.

  • Must be detail-oriented, a self-starter, able to work with little supervision, good at multitasking, prioritizing projects, and have strong organizational skills. 
  • Must possess strong administrative skills and the ability to work independently without supervision.
  • Must be willing to learn about our denomination, conference, association, and the local church.

Qualifications:

  • Associate’s degree or equivalent
  • Bachelor’s degree preferred.
  • Minimum of two years’ experience as an administrative assistant or equivalent.
  • Strong skills in MS Office and Google Suite.
  • Strong skills in using Canva, MailChimp, WordPress, Breeze CHMS, and social media.
  • Strong skills in using computers and office equipment.  

Responsibilities include, but are not limited to:

  • Provide administrative assistance to the Pastor.
  • Attend weekly staff meetings.
  • Provide administrative assistance as approved by the Pastor to the Finance Manager, Church Council, committees, organizations, and individuals.
  • Perform receptionist duties including screening calls, taking messages, maintaining the office email account, general office work, maintaining supplies and various files, and keeping official church records.
  • Periodically compile reports for the church, Chicago Metropolitan Association, and the Illinois Conference of the United Church of Christ.
  • Compile, create, and edit content for the weekly bulletin and monthly newsletter. 
  • Print, copy, and mail (when necessary) the bulletin and the monthly newsletter.
  • Proofreading all work before printing or emailing. 
  • Maintain the Church Calendar that automatically synchronizes with our website and the Pastor’s calendar, as well as a physical calendar.
  • Distribute incoming mail & prepare outbound mail and correspondence.  
  • Maintain an accurate and up-to-date directory of the entire congregation and its friends, including but not limited to phone numbers, email addresses, and physical addresses.
  • Coordinate with the Pastor for pastoral care visits, hospital visits, baptisms, weddings, and funerals.
  • Other tasks as assigned by the Pastor.

Evaluation 

The Administrative Assistant's performance evaluation is conducted within the first 90 days by the Pastor/Head of Staff and then annually thereafter during the month of hire. The Pastor/Head of Staff will annually assess the adequacy of compensation and make recommendations to the Church Council. A background check is made on staff members.

Administrative Assistant Search Process

We are excited to welcome a new Administrative Assistant to Christ Church UCC in Des Plaines! Below is the process for applying and moving through our selection:

  1. Application Submission: Submit your résumé, cover letter, and pay history to be considered for the position.

  2. Preliminary Interview: Selected candidates will be invited to an initial Zoom interview.

  3. In-Person Interview: Finalists will meet with the pastor and lay leaders for an in-person interview at the church.

  4. Start Date, Meet & Greet: The final candidate will be notified of their start date and invited to a Sunday worship service, where they will be introduced to the congregation.
